1. Who we are and how to contact us
Mile High Travels Inc. (MHT) is responsible for personal information collected through milehightravelsinc.org for its travel inquiry services. Our office is at Upper Level of Wisteria Court, Ventnor Gardens, Rockley, Christ Church, Barbados. For privacy questions or requests, email reservations@milehightravelsinc.com and use the subject “Privacy request”.
2. Information collected
When you submit a contact or flight inquiry, we collect your name, email address, optional phone number, inquiry category, selected flight where applicable, travel message and submission date. Charter requests also collect first and last names, phone number, departure and destination locations, preferred aircraft, travel dates, passenger count and any additional requirements you provide. Requests have an internal identifier and handling status.
The website uses a security session and records a hashed representation of your IP address with recent request timestamps to limit abuse. Hosting and email providers may also process connection information and operational logs, such as IP addresses, request times and delivery information, to operate and protect their services. Please provide only information relevant to your request. Do not send passport numbers or copies, payment card details or medical documents through these forms.
3. Purposes and legal grounds
We use inquiry details to respond to you, prepare quotations, discuss availability, coordinate requested travel and keep a record of communications. This processing may be necessary to take steps at your request before entering a contract or to perform an agreed service. We also use limited information for legitimate interests in operating the website, preventing abuse and resolving service issues, subject to your rights, and where necessary to meet legal obligations.
Where processing depends on consent, you can withdraw that consent by contacting us. Withdrawal does not invalidate earlier lawful processing or prevent processing required on another lawful basis. The form checkbox records your agreement to be contacted about your inquiry; it is not consent to unrelated marketing. This website does not offer an automated marketing subscription.
4. Inquiry records and email notifications
Form submissions are saved in the private website inquiry inbox. The site is configured to send inquiry notifications to reservations@milehightravelsinc.com and copy reservations@milehightravelsinc.org, using reservations@milehightravelsinc.org as the sender. Your email address is included as the reply address. Notifications include your submitted contact and travel details. Email delivery status and attempts are recorded; if delivery fails, the request remains in the website inbox for follow-up.
5. Who may receive information
Authorized personnel handling your request can access inquiry records. Hosting, email and technical service providers process information needed to support the website and communications; the production website is hosted with GoDaddy. If you ask us to arrange travel, relevant information may need to be shared with the airlines, charter operators, hotels, event organizers or other suppliers involved in your request. We aim to limit that sharing to information needed for the requested service. Information may also be disclosed when legally required or necessary to establish, exercise or defend legal claims.
6. International processing
Travel arrangements can involve suppliers in other countries, and hosting or email services may process information outside Barbados. Applicable protections may differ between countries. Where a transfer is subject to data protection requirements, an appropriate legal basis and safeguards must be used. Contact us for information about recipients or international processing relevant to your request.
7. Cookies, browser storage and external websites
The MHTSESSION cookie supports security checks, form confirmations and staff sign-in. It is a session cookie. The website also stores your motion preference in your browser under “mht-motion” so it can remember whether to pause video and animation. You can clear this preference through your browser settings. Blocking session cookies may prevent forms or staff login from working.
The current website does not include advertising trackers or analytics scripts. Its promotional video is served directly from the website. Clicking links to social networks, event websites or other external services takes you to services governed by their own privacy policies and cookie settings.
8. Retention and security
Inquiry records and email copies may be retained to handle your request, support any resulting booking, resolve disputes and satisfy applicable recordkeeping obligations. Retention depends on whether an inquiry becomes a booking and the legal or operational need for the record. Records are not automatically erased when a request is marked Completed; contact us to request deletion or ask about the retention applicable to your information. Backups and email systems may retain copies separately.
The website uses access controls for its administrative inbox, password hashing, form security tokens and request limits. These measures reduce risk but cannot guarantee that every transmission or storage system is completely secure. Limit the sensitive information you send through forms and ordinary email.
9. Your rights and complaints
Depending on applicable law and the circumstances, you may request access to your personal information, correction of inaccurate information, erasure, restriction of processing or data portability, and may object to certain processing. Some requests are subject to legal exceptions, such as required recordkeeping. We may need proportionate information to verify your identity before responding; do not send identity documents unless a suitable method has been agreed.
Contact reservations@milehightravelsinc.com to exercise a right or raise a concern. You may also complain to the Barbados Data Protection Commissioner or another competent supervisory authority. Official information about the Barbados Commissioner is available through gov.bb.
10. Children and information about other travellers
These inquiry forms are intended for adults arranging travel. An adult arranging travel for a child or another person should have appropriate authority and avoid submitting unnecessary personal details about them. If a child has submitted information without appropriate involvement from a parent or guardian, contact us so the information can be reviewed.
11. Changes to this policy
We may update this policy as our website, services or legal obligations change. The revision date appears at the top. Materially different uses of information may require additional notice or consent where applicable law requires it.
